We are looking for a highly accountable, detail-oriented, phone-savvy virtual team member to join us as a Virtual Appointment Setter and Customer Service Representative .
Position Summary You’ll be the first voice our customers hear—and the person who keeps our schedule running smoothly. This role is critical to maintaining an efficient, profitable, and customer-friendly operation. You'll manage the entire front-end scheduling system: from inbound lead calls and customer service requests to follow-up with past leads and dispatching our techs and sales reps in smart, optimized routes.
Key Responsibilities - Answer all inbound calls professionally and promptly—leads, inquiries, and service requests
- Outbound follow-up on all old leads, open quotes, and past clients to generate re-engagement and appointments
- Accurately schedule appointments for both sales reps and service technicians in LEAP CRM, ensuring routes and timing are efficient and realistic
- Maintain and update CRM with customer records, job notes, statuses, and outcomes
- Act as a dispatch coordinator , ensuring techs and reps are sent to the right jobs with complete information
- Handle customer service issues with professionalism, urgency, and escalation when necessary
- Keep the daily schedule full and actively troubleshoot gaps in the calendar
- Collaborate with sales and operations to ensure seamless communication and job execution
- Maintain strong phone and email etiquette , working Pacific Time hours consistently
Qualifications - 2+ years experience in construction, roofing, HVAC, or home services dispatch or appointment setting
- Virtual call center or remote work experience required
- High familiarity with CRM systems – experience with LEAP CRM is a major plus
- Proven ability to work independently and stay highly organized in a remote, high-accountability environment
- Strong problem-solving and multitasking skills
- Exceptional phone communication skills and active listening
- Strong written communication for emails, text messaging, and internal notes
- Must work Pacific Standard Time (PST) hours , Monday–Friday (occasional weekends a plus)
- Comfortable handling high call volumes throughout the day
