Job Description

Special Education Administrative Assistant Location Okemos, MI : Description:

:

  • Responsible for day-to-day clerical tasks, including typing, filing, answering telephones, and ordering supplies.
  • Manages various responsibilities to ensure the efficiency of DESS operations, including billing, contract maintenance, workshop coordination, and compliance updates.
  • Follows a 12-month calendar.
Requirements:

Required Education and Qualifications:

  • Proven experience in office administration or a related role.
  • Outstanding communication and interpersonal skills.
  • Excellent organizational and leadership abilities.
  • Familiarity with office management procedures and basic accounting principles
  • Proficiency in MS Office (Excel, Word, PowerPoint) and Google Suites.
  • Qualifications in secretarial studies are advantageous.
  • High school diploma; a BSc/BA in office administration or relevant field is preferred

Desired Qualifications:

  • Three or more years of experience in office administration.
  • Some knowledge of special education and school operations.
  • Self-motivation to assist with state and federal compliance.
  • Ability to work independently with minimal supervision.
  • Experience in collaborating with various stakeholders, including school administrators, special education teachers/social workers, service providers, and Intermediate school district staff.

Essential Job Duties/Functions:

  • Primary telephone contact/resource person for special education services.
  • Maintains calendars and department databases.
  • Manages files related to staffing, budgeting, workshops, reports, and compliance requirements.
  • Handles Medicaid reporting, purchasing, and budgetary records.
  • Monitors contracted ancillary staff billing hours and reconcile statements.
  • Coordinates department-related workshops and training.
  • Ensures compliance with reporting systems and liaises with related Intermediate School District (ISD)/State staff.
  • Assists in developing and monitoring special education budgets.
  • Coordinates meetings, submits reimbursements, and manages various administrative tasks as assigned.
  • Monitors Individual Paraprofessional (IP) applications, deadlines, and ISD coordination.
  • Collects Student Status Reports, Logs, and evaluation timeline calendars from SPED Service Providers.
  • Other duties as assigned by the Department of Exceptional Student Services Director.
