We are seeking an Executive Assistant to support the CEO of a mid-sized commercial construction firm. The ideal candidate will be personable, detail-oriented, highly organized, adaptable, and well-experienced in the construction industry. This is an excellent role for an experienced administrative assistant.

 

Duties and Responsibilities

 

  • Report to the CEO and handle a wide variety of day-to-day tasks, including calendar management, helping prepare documents and assisting with office communications
  • Maintain the CEO's calendar, communicate with clients and other team members, and arrange some travel for various meetings and events; ensure the calendar is coordinated and timely meeting notifications are provided
  • Help coordinate company events, such as small meetings and employee gatherings
  • Proofread and prepare documents for BOD meetings, including preparing and distributing meeting minutes and creating PowerPoint presentations
  • Assist marketing agency with coordination of content for in-house newsletters and communications from the CEO
  • Work with other administrative staff, order office supplies, distribute mail and other office communications
  • Organize and maintain internal marketing collateral inventory, including business cards
  • Be able to proofread and assist with confidential and time-sensitive documents

 

Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Office Suite (Outlook, Calendar, Word, Excel, PowerPoint and Teams)
  • Excellent communication and interpersonal abilities
  • Ability to multitask and prioritize tasks effectively
  • Strong clerical and organizational skills
  • Excellent time management skills
  • Experience with Bluebeam, CMIC, Adobe InDesign, Dropbox, and other software and app technologies is a significant advantage; AIA Contract is helpful but not required
  • Licensed Notary, a plus
  • Must be a self-starter and extremely detail-oriented
  • Must be able to work independently and be able to adapt to changing schedules

 

Qualifications

  • Minimum 3+ years of experience as an Executive Assistant or in related administrative roles
  • Bachelor’s degree in business administration or a related field.
  • Prefer experience in the construction, engineering or legal industry.

Physical Requirements

Capable of sitting, standing, stooping, bending and twisting. Must be able to lift thirty pounds.

 

Required license or certification: Driver’s License
