Job Posting: Document Specialist (Part-Time)

Location: Bridgewater, NJ (Must be local due to compliance, role is Remote)

Pay: $22/hour

Hours: Part-Time, 5 hours per day, 25 hours per week

Position Overview:

We are seeking a highly organized and detail-oriented Document Specialist . This vital role supports compliance systems by ensuring efficient and compliant documentation processes aligned with business objectives. The Document Specialist will oversee document version control, ensure accuracy in production records, and improve workflows to enhance operational effectiveness. The ideal candidate will have strong organizational skills, meticulous attention to detail, and the ability to collaborate effectively with stakeholders across departments.

Key Responsibilities:

  • Document Version Control: Manage the lifecycle of documents to ensure the most current versions are accessible. Track changes and revisions to prevent errors and maintain compliance.
  • Production Records Review: Review production records thoroughly to ensure compliance with industry standards and internal policies, addressing discrepancies and implementing corrective actions when necessary. Performance will be measured by On-Time Release KPI.
  • Compiling KPI Data: Gather and analyze Key Performance Indicator (KPI) data related to document compliance and record reviews to provide operational insights, driving informed decision-making and supporting business objectives.
  • Improving Existing Workflows: Identify opportunities to improve document management and related workflows, implementing best practices to increase efficiency while meeting regulatory requirements, including ISO 22000 certification.
  • Enhancing Communication: Foster effective communication between stakeholders to ensure all parties are informed and aligned on document-related processes, updates, and issues.

Required Skills and Qualifications:

  • Documentation Review: Experience reviewing completed records and batch sheets, collaborating with multiple departments, and communicating effectively internally and externally.
  • Time Management: Strong ability to prioritize multiple tasks, manage changing priorities, and utilize computerized systems for daily tasks.
  • Communication: Excellent written and verbal communication skills with the ability to present information clearly to diverse audiences.
  • Software Proficiency: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook). Knowledge of Power BI is a plus.

Preferred Qualifications:

  • Experience managing controlled documents in a regulated environment.
  • Experience in the food and beverage industry, particularly in R&D and pilot plant environments.
  • High School Diploma and 3 years of relevant industry experience; a BS degree is not required for this role.

Experience:

  • At least 3 years of hands-on experience with production records review.
  • Proven experience may substitute for formal educational qualifications, with level determined based on qualifications.

Education & Qualifications:

  • Minimum requirement: Experience in the food and beverage industry, particularly in R&D and pilot plant environments.
  • Strong time management skills and ability to meet defined timelines.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Basic computer literacy required.
