Job Description

This position is based on-site in the Greater Seattle Area.

The Corporate Event Planner at Sono Bello is responsible for planning, organizing, and executing events, including meetings, annual awards ceremony, semiannual conferences, seminars, team-building activities, and other gatherings. The role is responsible for overseeing all aspects of the event planning process from initial planning to post-event evaluation, ensuring that events run smoothly, meet their objectives, and adhere to budgetary constraints. Their duties include meeting with vendors at the venue location to help with set-up, running errands for supplies and decorations and working with team members to ensure the completion of a successful event.

ESSENTIAL DUTIES AND RESPNSIBILITIES:
  • Oversee the planning and execution of at least five 100 to 400-person events per year and at least one 20 to 60-person events per month.
  • Collaborate with internal stakeholders to define event objectives, target audience, and key messages.
  • Develop comprehensive event plans, timelines, and budgets.
  • Research and select appropriate venues, catering services, and other vendors.
  • Own every aspect of an event, from venue choice to success metrics
  • Partner with leadership to manage budgets and timelines to ensure they remain on track
  • Coordinate all logistical details, including venue selection, transportation, accommodation, catering, audiovisual setup, and guest management.
  • Help negotiate contracts with vendors, suppliers, and service providers to secure favorable terms and pricing.
  • Travel to in and out of state venue selection to ensure it meets the needs of the event.
  • Coordinate with marketing and communications teams create materials, invitations, and event programs.
  • Oversee event setup, execution, and teardown, ensuring all elements are in place and functioning properly.
  • Books and inspects banquet and catering functions, hotel accommodations, meeting facilities, and other spaces necessary for events.
  • Serve as the primary point of contact for vendors, teams, and attendees during the event.
  • Troubleshoot and resolve any issues that arise to ensure a seamless event experience.
  • Conduct post-event surveys and gather feedback from attendees, vendors, and stakeholders.
  • Compile event performance data and present it alongside objectives and provide detailed reports.
  • Identify areas for improvement and recommend strategies for future events.
  • Ensure compliance with health and safety regulations, accessibility requirements, and other relevant laws.
EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:
  • 3+ years' experience in an event or catering environment or a related field.
  • Meeting and event management or hospitality management degree a plus 1
  • Strong organizational and project management skills, with the ability to multitask and prioritize effectively.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in event management software, Microsoft Office Suite, and familiarity with digital marketing tools.
  • Ability to work under pressure, meet tight deadlines, and handle unexpected challenges.
  • Attention to detail and a creative approach to problem-solving.
  • Lead or participate in other assigned projects.
TRAVEL REQUIREMENT:
  • This role requires up to 10-15% of nationwide travel based on business needs and calendar of events.
COMPENSATION:

At Sono Bello, we believe that our team members are the keys to our success. The compensation range for this role is $72,000 - $80,000.
