Boulo Solutions is partnering with a Birmingham, AL based commercial real estate firm looking to hire a Tenant Services Coordinator (Commercial Property Service Coordinator) to join their team. Salary: Based on experience but more entry level position or someone with 2-5 years experience.
Hours: 8-5pm

The Tenant Services Coordinator will support the Property Management department in the day-to-day operations of the firms affiliates and Third-Party Owned real estate portfolio. The Tenant Services Coordinator should relieve Property Managers of certain responsibilities that will allow them to spend a greater portion of their time effectively managing their properties.
The Tenant Services Coordinator will be responsible for coordinating with Property Managers, Tenants, and Vendors to ensure a high level of professionalism and foster positive relationships with tenants, vendors, and clients.
Essential Responsibilities include, but are not limited to:
• Respond to tenant inquiries, concerns, and maintenance requests by serving as the Tenant Help Desk administrator. Ensures that maintenance requests are handled promptly and within our policies, procedures, and contractual obligations.
• Manage, control, and maintain the Work Order Management system. Manage associated invoices, labor and materials billing, and all work order billing and reporting.
• Approve Maintenance Technician expense reports.
• Coordinates all stand alone and recurring work orders including maintenance request and inspections both internally and with external vendors.
• Schedule work orders for Maintenance Technicians to ensure most efficient service to tenants.
• Assist in sourcing and vetting of new vendors.
• Follow up with tenants to ensure work order satisfaction.
• Send tenant notifications and communications through software provider.
• Create and manages tenant contacts.
• Maintain vendor certificates of insurance, building inspections, and elevator certificates.
• Maintain the small tools inventory.
• Maintain after hour and on-call schedules.
• Provide initial IT support for Maintenance Technician software and tracking.
• Assists property management team with budget preparation as directed by supervisor.
• Maintain positive vendor relationships.
• Perform other duties and/or special projects as assigned.
